Collection roles

Collection roles decide what each collaborator can do on a shared library collection. Roles are defined under Admin > Roles > Collection and applied when a collection is shared. Use this article as the permission reference.

Cirrus ships with three default roles: Author, Co-Author, Reviewer. A System Admin can fully customise them.

Sorting

The Sorting row changes column order in the matrix. Display only; does not change permissions. The highest number is furthest left, typically the System Administrator.

Permissions

Permission	Allows the user to
Access to items	Access the shared items of a collection.
Access to statistics	See the Statistics tab.
Manage sharing	Use the Share button on the collection.
Archive collection	Archive the collection.
Delete collection	Delete the collection.

Collection item management

Permission	Allows the user to
Add items	Add new items.
Delete items	Delete items.
Edit items	Edit items.
Create copy	Copy an item.
Import items	Use the import function.
Export items	Export items.
Create new version	Create a new item version (for example, after changing the score on a Live item).

Status management

Items move through a status workflow. Status management decides which statuses each role can see and change.

Status	Meaning
Draft	Item is in progress.
Ready for review	Item is ready for review by a co-author or reviewer.
Reviewed - approved	Item approved by the reviewer.
Reviewed - not approved	Item needs revision.
Live	Item is ready for use in assessments. Only Live items appear in question selection.
Withdrawn	Item is no longer in use. Withdrawn items are automatically removed from blueprints.

Status matrix per collection role

Per status, choose:

Deny: items with this status are hidden in the collection.
Modify: the role can see items and change to or from this status.
View: the role can see items at this status but cannot move items into or out of it.
