Update or change a schedule

Prev Next

Use this article when you need to change settings on a schedule that is already created. What you can change depends on whether the schedule is activated, and whether any candidate has started.

Scenarios at a glance

Scenario What you can change
Created, not activated Everything except the assessment itself.
Activated, no candidate started Nothing directly. Deactivate first.
Activated, at least one candidate started Only candidates and invigilators.

1. Created, not yet activated

While the schedule is created but not activated, you can change every option, including:

  • Title.
  • Hierarchy used for marking.
  • Start and end date.
  • Proctorio settings.
  • Key code.
  • External ID used for integrations.

To change them, open the schedule and select the three-dot menu in the top right.

Three-dot menu on a schedule with the Options entry

Select Options. A dialog opens with:

  • The selected assessment, which cannot be changed.
  • The options panel.
  • Remote invigilation settings.

2. Activated, no candidate started yet

Once activated, the settings are locked. To change them while no candidate has started, deactivate first:

  1. On the schedule, select Edit schedule settings.
  2. In the dialog, select Deactivate.

You are back in scenario 1. Make the change, then activate the schedule again. Do not forget the second activation.

Cut-off for deactivation

A schedule can only be deactivated while no candidate has started. Once even one candidate has started, you cannot deactivate it and the locked settings stay locked.

3. Adding or removing candidates and invigilators

The candidate and invigilator lists follow their own rules and do not require deactivation:

  • Add candidates at any time while the schedule window is open. Remove only candidates who have not started.
  • Add or remove invigilators at any time before the window opens, as long as the schedule is deactivated.

See Scheduling: add candidates and Scheduling: add invigilators for the full rules.
