The Coordinator overview lists every schedule a coordinator can set up marking for. Use this article as the entry point to the coordinator role: where to find the overview, what each status means, and how to set up a workflow on a schedule.

Open the overview

Open Marking > Coordinator.

If the tab is missing, your role does not include coordinator access. Ask a System Administrator if you expect to see it.

The overview lists every schedule you are permitted to coordinate. From here you can:

  • Filter and search the list.
  • Open a schedule to set up or adjust its marking workflow.
  • View simple-workflow schedules (these are normally hidden by the default filter).
  • Archive a schedule once marking is complete.

Set up a marking workflow

Select a schedule title. The workflow setup has three steps:

  1. Settings: pick the workflow type and add moderation rounds if needed.
  2. Assessors: assemble the pool of markers, moderators, and other staff.
  3. Allocation: assign assessors and moderators to candidates or items.

Each step is reflected in the to-do list on the coordinator dashboard.

Progress column

The progress indicator on each row shows how much marking has been submitted.

  • The percentage reflects submitted marking. In the example below, 33% is submitted.
  • The counts (26 / 78) show how many questions have been marked.

How progress is counted
  • The percentage can fluctuate as items move into moderation.
  • Candidates who never started count as 1 unresolved question each in the total. Example: 3 candidates on a 5-question manually-marked exam, 2 of whom started, shows 11 questions in the total — 10 to mark plus 1 placeholder for the non-starter.
  • If only the percentage is visible and the bar is clipped, hide a few columns to widen the row.

Status column

The Status column tells you where each schedule sits in the marking process. Filter by status when a list is long.

Status Meaning
ADD ASSESSORS No assessors added. Marking cannot begin.
NOT STARTED Assessors and moderators added, but nobody has started.
ASSESSING Marking in progress. At least one candidate has been assessed, but scores have not been submitted.
MODERATION NEEDED Assessors finished marking, but submissions are awaiting moderation. Only shows when moderation is the blocker.
SUBMITTED All assessors and moderators have submitted. Results are awaiting publication.
PUBLISHED Results published. The schedule disappears from the overview when its window closes.

Status reverts when new candidates are added

When candidates are added to a running schedule, the status drops back to ADD ASSESSORS because the new candidates need allocating. Re-run allocation to clear the block.

Simple-workflow schedules

The overview defaults to extended workflows. A filter and an extra column let you switch to simple-workflow schedules.

For simple workflows, the coordinator settings, assessors, and allocation are pre-filled with the scheduler as the sole marker. They can still be edited from the coordinator view, for example to move to an extended workflow.

Archive a schedule

A coordinator can archive a schedule they manage. Archiving:

  • Removes the schedule from the Coordinator overview and the Assess tab.
  • Stops markers from completing any outstanding work.
  • Allows publication of results, if every script was already marked.
Archiving cannot be undone

Once archived, the schedule cannot be returned to the coordinator overview. Confirm marking is complete before archiving.
